Job Posting: Organic Food Coordinator

ORGANIC FOOD COORDINATOR

The Northeast Organic Farming Association of New York (NOFA-NY) is the oldest and largest organization in New York devoted to organic and sustainable farming and gardening, and counts over 800 farms among its 1700 members of farmers, gardeners, and eaters.

We are seeking an Organic Food Coordinator to coordinate organic food donations, organic food purchases, and food transportation for the annual NOFA-NY Winter Conference, NOFA-NY fundraisers, Organic Dairy & Field Crop Conference, Farm to Restaurant Conference, and annual Field Days.

The position requires a self-starter who has experience in customer service, donation solicitation, and farming or food. The person must be passionate about local organic food and farming. This position is a contract position from April 2012 until May 2013. Time required is occasional through the summer, but greatly increases in the fall and winter. The position will report to the Education Director and will be required to attend occasional meetings throughout the summer and bi-weekly meetings in the fall, either in the NOFA-NY office in Rochester, NY or by phone. Candidates interested in contracting with NOFA-NY for more than one year will be given preference.

Specific Responsibilities
Food Procurement:
Communicate with NOFA-NY Education Director about event food needs.
Communicate with the chefs at event locations to solidify menus and ingredient lists that represent seasonally appropriate foods.
Solicit food donations from NOFA-NY members, friends, organic food businesses and corporations
Contract food purchases and meat processing within allotted budget.
Confirm all food donations and donation values and registration or ticket trades.
Coordinate with the NOFA-NY Registration Coordinator on discounted registration trades for food donations
Coordinate transportation of all food donations to the event sites.
Maintain master lists of food donations for each event.
Create food display signs that list all food donations for each event.
Confirm arrival of food shipments at event sites.

On-Site Management
Communicate regularly with chefs to ensure that all food arrives on schedule.
Receive food donations from event attendees, if applicable.
Work with chefs to adjust the menu as necessary.
Work with the event venues' food and beverage staff to make sure that all food is where it needs to be throughout the event, properly labeled, and properly displayed to ensure integrity of the donated product.

Post-Event Responsibilities
Write thank you letters to all food donors.
Write thank you letters to event chefs and appropriate kitchen staff.
Write a summary report on each event's food program with suggestions for next year.
Work with chefs or sous chefs to create event menus for 2014 events.

Compensation
Independent contractor position. Compensation: $7,000-8,000 per experience, plus travel to attend necessary events.

Qualifications
Experience: Experience in event planning, local food procurement, donation solicitation, and customer service.
Skills: Highly organized, very detail oriented, excellent customer service, strong interpersonal and training skills; access to high-speed internet required; proficiency in MS Excel and MS Word required.
Capabilities: High energy and enthusiasm. Ability to work well with a wide range of people, work well under pressure, handle multiple tasks at once, and adapt to changing situations on a daily basis.
Conditions: Strong interest in and commitment to promoting the goals of NOFA-NY. Occasional travel required.
